Privacy policy

This policy explains how getnotaryo Technologies, Inc. ("getnotaryo," "we," "us") collects, uses, stores, and protects personal data. We comply with the Data Privacy Act of 2012 (R.A. 10173) and its Implementing Rules and Regulations.

What we collect

  • From your firm: firm admin and notary names, emails, phone numbers, IBP / PTR / MCLE / Roll-of-Attorneys identifiers, commission details, billing and payment records.
  • From walk-in clients (entered by your firm): name, address, phone, email, government-issued ID details, document content, payment records, photograph of the ID if uploaded.
  • From every user: IP address, browser type, timestamp of each action — used for the audit trail.

Why we collect it

  • To provide the notarial practice-management service.
  • To comply with the 2004 Rules on Notarial Practice and OCA Circular 197-2025 reporting requirements.
  • To prevent fraud and abuse.
  • To respond to lawful requests by Philippine courts and regulators.

Where it lives

On AWS in the us-east-1 region. Encrypted at rest via AWS KMS and in transit via TLS 1.3. We do not sell, rent, or share your data with third parties for marketing.

Your rights

Under the Data Privacy Act, you have the right to access, correct, object to processing, and ask for erasure of personal data we hold about you. Email privacy@getnotaryo.app and we'll respond within 15 business days.

Retention

Notarial register data is retained for 7 years to comply with archival requirements. You can export it as CSV/PDF at any time. After 7 years (or earlier if your firm cancels and waives retention), the data is permanently deleted.
